Notarizations held onsite have must meet the following requirements for completion of the work. These are both direct requirements resulting from the law, as well as standards set in place by InvestorBootz to ensure excellent outcomes.
Confideniality and Professional Courtesy Requirements
Please refer to our complete resource on confidentiality and other requirements related to onsite professionalism.
You may view our full resource guide on confidentiality requirements here.
All notarizations require:
- Legal Identification
A picture of the front and rear of a drivers license, or state legal I.D card is required.
- Documents must be printed correctly
Never shrink a legal page document to a letter sized output. Print all documents the size the PDF is already set to.
- Unless otherwise stated, signings must be in BLUE INK.
Unless a client has specified black ink, you must use blue ink.
- (2) Two copies must be printed
One copy is for the signers. There are no exceptions. If the signer makes a mistake, please take their copy and re-execute the form.
- Scanbacks are required
Scanbacks must be completed immediately after the signing.
- Corrections to forms are not permitted
Notary forms excluded (i.e. acknowledgements / jurats), all pages sent for signing during the notarization cannot be altered without express permission from InvestorBootz, LLC.
- A W9 must be on file inside of the NotaryDash software
For instructions on how to do this, please review our helpful article here.
Meeting legal standards:
All documents have a set of requirements that must be fullfilled in order for the agreement to be legally sound.
Three key things to watch for when completing notary acknowledgements and jurats:
- Personally appeared
Print the signer(s) name on the line after.
- Subscribed and sworn to me by
Print the signer(s) name after "by."
- Before me
Print your full name as the notary on the line after.
Errors & Corrections:
Title companies do impose fees for errors which can result in a charge back to the notary if the errors in the forms cause a delay to closing.
We highly recommend double or triple checking your work.
Shipment of physical copies:
For orders that include physical delivery of the signed documents, bring them to a FedEx or UPS Shipping location as quickly as possiblel and provide proof via a receipt.
Failure to do so in a reasonable time can result in a fee deduction.
